You can create projects and manage events/billing information.

Manage a project

Create a project

Projects can be created in different ways.

  • Click on 'Create' > 'New Project' located above the navigation bar to the left

  • Click on 'Create' in the top right corner of the project list page

  • Click on 'Create' in the top right corner of the customer details page (when creating a project associated with a client)

When creating a project, it is mandatory to enter the 'Project Title' and associated 'Customer'.

You can create customers within a project or search for their names (if no search results appear, you can create a new customer).

Create multiple projects at once

You can create multiple projects at once by uploading an Excel file.

You can do this by clicking on 'Options' in the top right corner of the project list page and then clicking on 'Upload projects/events in Excel format'.

  • The customer name associated with the project is a required input and must map to a name name in the customer list

  • Detailed rules and tips are listed at the bottom of the modal window that appears when you click on 'Upload projects/events in Excel format'.

View and manage your project list

You can access the project list page by clicking on 'Projects' in the left navigation bar.

  • Sort through projects by using the 'Filter' option in the top right corner

  • Upload or download the full list of projects by clicking on 'Options' in the top right corner

  • Search for a specific project by typing in project name in the 'Search' option

The checkboxes to the left of the project list allow you to update/delete multiple projects at once.

  • Delete multiple projects at once

  • Update multiple project permissions and tags at once (Changing a project's permissions does not change the permissions of contracts/sales documents linked to the project)

Manage events and billing information

The project detail page has different tabs for you to manage a project. The 'Events (Transactions)' tab allows you to view and create events related to the current project.

  • View events with the calendar

  • Manage all your events through the events list

    • Perform different actions with the checkboxes on the left side of the events list

      • Mark as complete/delete/change multiple events at once

      • A billing event will be considered complete when you click on 'Mark as complete'

      • To manage events in categories other than just completion status, you can utilize tags (Add tags to fit your company's needs)

If you click on 'Missed events', you will see a list of all past events that have not been marked complete.

Manage individual events

When you click the title of each event in the events list, a window where you can view details will appear.

  • View and edit event details linked to the project

  • Issue invoices and tax invoices

  • Access issued invoices and tax invoices

  • View the number of times you issued tax invoices & the number of times remaining

You can update events by clicking on 'Update' in the top right corner of the event details window.

  • Process sales/purchases for part of a transaction

  • Link a customer to each financial transaction (the customer associated with the project is inputed by default)

  • Tax amounts can be set to VAT included / excluded, or you can press the X button and enter the tax amount manually

Create events (one-time)

You can create individual events by clicking on 'Add event' located in the top of the calendar in the 'Events (transactions)' section.

  • Create an event by entering the date and name in the 'Add event' modal

  • For events related to sales/purchases, click on 'Set' to add amount and other details

  • Email notifications will be sent at 9 A.M. on the day you set up the event. The option to add a notification 3 days prior to deadline is also available

    • If Slack integration is set up, notifications will also be sent through the Slack channel (please see our Slack integration guide).

Create recurring events

You can create a recurring event by clicking on 'Add event' located in the top of the calendar in the 'Events (transactions)' section.

  • A modal where you can register a recurring event will appear when you click on 'Create recurring event'

  • In this modal, you can set the cycle and sales/purchase information for the event (Recurring schedules can have an end date of up to 10 years)

  • Depending on the cycle, linked events are automatically created

    • For example, if the cycle is 1 month and the start date is January 1, 2023 and the end date is March 1, 2023, then the following three events will be created: → 2023.01.01 / 2023.02.01 / 2023.03.01.

    • If the start date is the last day of the month, then you can also select the cycle to repeat on the last day of the month. (If you set the start date to the last day of the month, then the 'Set last day of the month as the end of each cycle' checkbox will appear at the bottom)

Manage financial transactions

You can view and manage your billing information on the project details page.

  • View all financial transactions related to projects on the 'Charts' tab

    • Check financial transactions as of this month/this quarter/this year based on a specific date at the bottom of the chart

    • Financial schedules that are not 'complete' or are out of date are marked as accrued receivables (for sales) / Accured payables (for purchases)

    • Clicking on the chart or on any of the financials for a given date will aggregate the relevant schedules and display them in a detailed modal window

  • View billing/financial information on the right under 'Basic information'

    • View sales, purchases, net profit, and corresponding VAT amounts

    • If there are tax invoices associated with the project, you can also see the associated amounts
